Volunteer Positions for the 2026–27 Academic Year

 

If you are interested in any of these positions, please email volunteer@westptco.com. Many roles can be shared or shadowed—no experience necessary, just a willingness to help support the West community.

 

 

EXECUTIVE BOARD POSITIONS

 

President

Provides overall leadership for the PTCO and serves as the primary liaison between the organization and school administration. Presides over all PTCO meetings, plans Executive Board and general membership meetings, and ensures PTCO activities align with bylaws, district requirements, and school priorities. Works closely with the Executive Board to appoint and oversee committees, reviews budgets and expenditures, signs required documents and maintains ongoing communication and approval with the Principal. Represents West Middle School at district functions and Parent Council events and mentors the President Elect to ensure continuity of leadership.

 

President Elect

Supports the President and performs presidential duties in their absence. Attends monthly CCSD Parents’ Council meetings and reports key updates to the Executive Board. Oversees assigned committees and prepares to transition into the President role the following school year.

 

Secretary

Maintains official PTCO records by recording, transcribing, and distributing minutes from Executive Board and general membership meetings. Keeps PTCO bylaws current, oversees revisions, serves as Parliamentarian, manages correspondence, and maintains updated lists of board and committee members. Organizes and maintains the PTCO closet and assumes presidential duties when both the President and President Elect are unavailable.

 

Treasurer

Oversees all financial operations of the PTCO in accordance with organizational policies and district, state, and federal requirements. Maintains accurate financial records, prepares and presents regular financial reports, manages bank accounts and reconciliations, oversees payment of approved expenses, and prepares the annual budget for Board and membership approval. Works closely with the school bookkeeper, files required tax and financial documents, ensures appropriate financial controls, and mentors the Treasurer Elect.

 

Treasurer Elect

Supports the Treasurer while receiving hands-on training in all financial processes. Assists with deposits, reconciliations, and financial reviews, adheres to PTCO financial policies, signs checks in the Treasurer’s absence, and completes the year-end financial review. Prepares to assume the Treasurer role the following school year.

 

Fundraising Chair

Leads and oversees PTCO fundraising efforts, including major campaigns such as Wildcat Challenge and Family Giving. Tracks and reports fundraising progress to the Executive Board, coordinates closely with the Treasurer on fund collection, and oversees fundraising-related committees.

 

Communications Chair

Manages and coordinates all PTCO communications to ensure timely, accurate, and consistent messaging. Oversees content for the West Weekly News, PTCO website, and social media platforms, and works with the President and Principal on internal and external communications. Maintains the PTCO database, including annual updates for incoming and outgoing families.

 

COMMITTEE & NON-EXECUTIVE POSITIONS

 

School Supply Coordinator (1 position)

Works with school administration in May to coordinate ordering of school supply kits for the upcoming school year. Communicates ordering details and links to families, partners with the selected vendor, and collaborates with the Check-In Chair to ensure smooth delivery and distribution at August check-in.

 

Check-In / Back-to-School Night Committee (2 positions + 2 shadows)

Collaborates with the Volunteer Coordinator and School Supply Coordinator to plan PTCO and school stations for August check-in. Identifies volunteer needs, creates or updates informational materials for families, and works with the school to ensure computers are available for registration support.

 

West Wearables / Spirit Gear Coordinator (1 position)

Works with school administration to submit and receive approval for spirit wear designs. Uploads logos, pricing, and sizing to the online store by August 15, pre-orders merchandise for check-in and Back-to-School Night sales, coordinates promotions with the Communications Chair, and oversees order fulfillment and delivery.

 

Character Development Committee (1 position per grade)

Partners with the grade-level Assistant Principal to plan and implement grade-wide assemblies, speakers, or field trips aligned with the school’s character and development goals. Topics often include social-emotional wellness, mental health, bullying prevention, and character building.

 

CCSF Gift Basket Coordinator (1 position)

Creates a themed gift basket on behalf of West PTCO for the Cherry Creek Schools Foundation Gala in March. Works with the Treasurer to establish a budget, solicits donations if desired, assembles the basket, prepares an itemized list with estimated value, and delivers it to CCSF. A great short-term role supporting district-wide initiatives.

 

School Dance Committee (1–3 positions)

Works with Student Council and the faculty advisor to plan end-of-year grade-level celebrations. Communicates approved themes and budgets, checks existing PTCO supplies before ordering, seeks community donations as appropriate, and coordinates volunteers and gift card donations with school administration.

 

Hospitality Committee (1 Chair + 4 members)

Partners with the school to plan and provide meals and appreciation events for teachers and staff throughout the year while managing a set budget. Events may include back-to-school, conferences, holidays, and other staff appreciation moments.

 

Tech & Webmaster (1 position)

Manages the PTCO website and Google Workspace accounts. Works with the Communications Chair to keep content current, supports transitions for new officers by updating permissions, and assists with posting meeting minutes.

 

Library Volunteer Coordinator (1 position)

Works with the school librarian to determine volunteer needs and coordinates parent volunteers for the library and book fairs. Manages SignUpGenius schedules and collaborates with the Volunteer Coordinator to maintain an up-to-date volunteer list.

 

Slating Chair / Volunteer Coordinator (1 position)

Collaborates with the Executive Board to recruit, nominate, and slate officers, representatives, and committee members for the following year in accordance with PTCO bylaws. Maintains volunteer records, manages SignUpGenius and volunteer communications, and supports volunteer recruitment throughout the year.

 

West Tours Committee (2–5 positions)

Works with the Counseling Office to provide tours for prospective families as needed. Recruits and trains parent/guardian tour guides and helps welcome new families into the West community.
